Fresh Relevance is committed to safeguarding your privacy.

This policy describes what personal data we collect and how that data is used. It is short and avoids legal language, because the GDPR requires that we provide information “relating to processing to the data subject in a concise, transparent, intelligible and easily accessible form, using clear and plain language” (GDPR Article 12.1).

It covers 4 different scenarios. Read the “All Scenarios” section and then the section for the scenario that best applies to you.

This Section Applies to All Scenarios

We do not sell your data, and if we are the Data Controller we do not let others copy your data for their own purposes. 

Privacy laws in many countries, e.g. the GDPR in the UK and EU, give you rights over your personal data, including the right to receive a copy, or have it deleted  (more about Individual Rights).

To request any privacy right if Fresh Relevance is the Data Controller, please contact us as described here: contact us. For security reasons, we may sometimes have to ask you to prove your identity. Then, if possible, we will carry out your instructions and get back to you.

 

Scenario 1. Visitor to our marketing website, or prospect contacted by our Sales and Marketing teams

Fresh Relevance is the Data Controller and the lawful basis is Legitimate Interest, or Consent if necessary (more). Please contact us if you want more information about your personal data.

Main types of Data:

  • This website uses cookies to identify you and keep track of your browsing sessions (cookies policy).
  • We keep a record of web pages seen, emails and other contacts.
  • We make a note when you contact us, e.g. by using a form or email.
  • We may collect public, work-related information, such as your job title and employer. 
  • Our sales and marketing teams also use the marketing tools listed below.

Used For:

  • To run this website – for example to track sessions and count how many people visit.
  • For customer support and services.
  • For sales and marketing. We and the GDPR only want you to see marketing that is relevant and valuable to you. So we only market to people who:

    - are currently looking at our website or marketing, or

    - have previously signed up to receive news and offers, or

    - have a role where they & their employer could greatly benefit from Fresh Relevance.

We use the following categories of sales and marketing tools:

  • Amazon AWS cloud servers in London to host this website. (The Fresh Relevance SaaS system is hosted by AWS in Ireland, in the EU, which is its only sub-processor.)

  • Analytics to count page visits etc., including google analytics.

  • Google Ads for marketing

  • LinkedIn and Facebook Ads for marketing

  • HubSpot for B2B marketing, scheduling emails, and the chat popup.

  • Email Service Providers to send emails.

  • Freshdesk.com for customer support. 

  • Monday.com to schedule customer services work.

  • Jiminny.com to monitor phone calls to check that our staff are achieving high standards

  • Online document signing tools.

  • Cognism for data cleansing and appending.

  • Livestorm for hosting and running webinars and online events.

  • Delighted for surveys on Fresh Relevance products and services

  • SalesLoft to send emails, track and manage the rate of marketing to prospects who are sent marketing emails and click through to this website.

  • Dreamdata for marketing 

We use the following tools to check logged-on users and improve security:

  • Hotjar for real-time traffic analysis
  • Report URI for real-time security reporting

Section 2. Visitor to a site that uses the Fresh Relevance SaaS Platform, e.g. for personalisation

Fresh Relevance is the Data Processor, and the lawful basis is determined by our client. Please contact our client if you want more information about your personal data.

Main types of Data:

  • Limited personal information about each shopper, such as your name and email address, but not passwords or credit card details. 

  • Browsing behaviour, such as web pages, marketing and products.

  • Purchase behaviour, such as products bought.

  • Favourites, such as preferred brands and price range.

Used For:

  • To help our client show you products and marketing that you will want to see.

  • To trigger transactional communications, such as purchase confirmation or browse abandonment emails.

We use the following sub-processors:

  • The Fresh Relevance SaaS system is hosted by AWS in Ireland, in the EU, which is its only sub-processor.

Scenario 3. Working at Fresh Relevance

Fresh Relevance is the Data Controller for our HR tools and the lawful basis is Legal Obligation or Legitimate Interest (more). Please contact us if you want more information about your personal data. If you also visit our marketing website or a website that uses our SaaS system, then read those scenarios too.

Data:

  • Contact details, such as your name and address.
  • Standard HR information, such as salary and tax
  • Account information within the software tools used by the company
  • The admin website uses cookies to identify you and keep track of sessions (cookies policy).
  • The admin website monitors logged-in users to detect usage patterns and security threats.

Used For:

  • To run the company and comply with employment laws.

We use the following tools to check logged-on users to the admin website and improve security:

  • Hotjar for real-time traffic analysis
  • Report URI for real-time security reporting

We use the following HR (human resources) SaaS platform:

  • Breathe

If you use any other tools while working at Fresh Relevance - for example Gmail, Slack, Freshdesk, Hubspot – then they may store personal data such as your name and password.  Please contact them directly about your personal data.

 

Scenario 4. Working at our Clients, with an account on the Fresh Relevance SaaS Platform

Fresh Relevance is the Data Controller and the lawful basis is Legitimate Interest (more). Please contact us if you want more information about your personal data. If you also visit our marketing website or a website that uses our SaaS system, then read those scenarios too.

Data:

  • Account information for you to access the Fresh Relevance Platform, such as your name, address and password.
  • Information necessary to run the Fresh Relevance Platform, such as your instructions.
  • Your contact information and details of your requests and communications with you.
  • Our admin website uses cookies to identify you and keep track of sessions (cookies policy).
  • Our admin website monitors logged-in users to detect usage patterns and security threats.

Used For:

  • To implement the contract with your employer.

We use the following tools to check logged-on users to the admin website and improve security:

  • Hotjar for real-time traffic analysis
  • Report URI for real-time security reporting

We use several tools to keep track of work and to run the company. When you contact us or we contact you, or you ask us to do something, personal data and details of your request may be stored in some of the following:

  • Hubspot

  • Slack

  • Fogbugz

  • Freshdesk

  • Trello

  • Google Workspace, including GMail

  • Monday.com
